Graduate Student Employment Processing Dates, Deadlines, & Reminders
Fee Credits
The Graduate Division cannot guarantee fee credits will be available for student fee payments if the academic appointments (TA, GSR, etc.) have not been entered into the Personnel/Payroll System by Friday, August 29, 2008 (for Fall 2008); Friday, November 28, 2008 (for Winter 2009); and Friday, February 27, 2009 (for Spring 2009).
We will make every effort to generate the associated fee credits for students with the appropriate teaching or research appointment(s) input after that date; however, it is critical that the Graduate Division is provided sufficient time to review appointments prior to fee credit generation. This process requires additional time when a large volume of appointments are entered just prior to the fee payment deadline.
Appointment Criteria
All departments and facilities at UC Irvine are required to follow the General Employment and Graduate Student Appointment policies and criteria when hiring a graduate student. It is the hiring unit's responsibility to ascertain that a student is eligible to be appointed in a position prior to offering a student such a position. The criteria for appointment in teaching titles (Teaching Assistant, Teaching Associate, Reader, and Tutor) and research titles (Graduate Student Researcher and Graduate Student Assistant Researcher) are listed in Section IV (Academic Appointments and Graduate Student Employment) of the Graduate Advisor's Handbook. When considering appointing a student from another academic unit, it is the responsibility of the hiring department to coordinate any appointment(s) with the student's home department to determine eligibility for the appointment.
Exception Requests
If it is determined that a graduate student does not meet the criteria, particularly the academic standards, the academic unit can choose to forward an exception request for consideration. It should addressed to the Associate Graduate Dean and forwarded to Tina Cho, Employment Assistant Analyst, in the Graduate Division. However, the exception request must be approved in writing prior to issuance of an Appointment Notification (for teaching title positions) and prior to the appointment being input to the Payroll/Personnel System.
MRU Requirement
If a student has graduate aid of any type, the student must be enrolled in the minimum required units (MRU) for their particular aid in order for fee credits to be applied to their respective fee assessments. The minimum required units for Financial Aid are six; for Graduate Aid it is one unit. Any combination of Graduate Aid and Financial Aid defaults to the higher MRU.
