Dear Campus Personnel Officers and Staff:

As mentioned in the email from Academic Personnel, since the meeting this week has been cancelled, our offices will be providing you updates periodically...

I. FORMS – You may get an influx of forms this week and next week for the forms are due to be turned in this Monday, November 1, 2004. Please hold on to these forms until December. I will be sending you an email reminder before December 1, 2004 to send these forms on to Payroll/Accounting.

1. If Fellows (3253) or Paid Directs (3254) submit their “Enrollment/Change” form and “Beneficiary Designation” form to your department at this time, please hold on to these forms. Benefit information cannot be entered in the payroll system until December so for organization, Payroll/Accounting requests that you hold on to the forms for the meantime.

2. If Visiting Postdocs (3370) submit to you their “Election and Acknowledgement” form and/or their “UPAY 850” form to cancel their current plan and switch to the new Plan/titlecode by January, please provide us a list of those who have responded if you wish for us to track responses for you. In the mailings to the 3370s sent by GPA in September, we asked Postdocs to send these forms via the addressed envelope directed to OGS. We have just received a few at this time. If they choose to switch to the new Plan, please hold on to the “Enrollment/Change” form and “Beneficiary Designation” form as well.

NOTE: Please do not make any title code changes in PPS until further instructions regarding AP documentation and PPS entry/update is forwarded from Academic Personnel. This information will be distributed by early December.

II. REMINDERS and WHAT’S NEXT:

1. Reminder to Postdocs – OGS will be sending an email reminder to Postdocs tomorrow to turn in the forms by next week. If any contact from your department has changed from the time we have compiled the list in August, please let us know for we will be providing this listing to the Postdocs along with the reminder.

2. Follow up with Postdoctoral Scholars – After the deadline, OGS will coordinate with the CPOs from your school/unit to assure that Postdoctoral Scholars who need to elect and/or enroll have responded. If necessary, OGS will send a reminder email to the Postdocs.

3. Resources - It is our hope that these periodic updates will guide you through the transition phase. Furthermore, to make information readily accessible, we will be dedicating a page on our OGS website to include, but will not be limited to, ALL the emails that have been sent to you thus far. I will let you know when the site is available.
